Office of the Registrar

Description

The Office of the Registrar is an academic support unit of the college and the hub of academic records of all students from their admission until the completion of the course. The office services online enlistment and enrolment of students whose academic performance and status are monitored closely to ensure their retention in the College until they earn their respective course.
The office preserves the confidentiality of student records and information in accordance to education law. As it aims services towards academic standards management and quality services of the College.

Services

Office electronic services are supported by our EDP department that helps facilitate smooth online enlistment and enrollment by students, access grades by students, and timely delivery of student and services of faculty.
Daily transactions and requests from here and abroad which are received thru email (registrar@sscrmnl.edu.ph), by phone (8734 8935 to 39 local 111) or filed personally by our graduate and/or authorized representative are attended to in accordance with the standard operating procedures of this office.
Registrar’s office preserves the confidentiality of school records and are implemented based on CHED Morphe or Manual of regulations for Private Higher Education 2008.

Policy on Completion of Grades

Per manual of regulation for private education, filing completion is allowed only within one (1) academic year.

Policy on Alteration of Grades

  • Request for alteration forms should be formalized in writing by the professor concerned and endorsed by the Dean. Attach the student’s request for alteration.
  • Accomplish two (2) copies of this form. (attach photocopy of class records and other pertinent documents.)
  • The Dean’s office will forward it to the Registrar’s office for appropriate action and to be approved by the Vice President for Academic Affairs.

Policy on Changing, Dropping, Adding of Subjects: (Taken From Student Handbook P. 13)

Changing, adding, dropping of subjects is allowed only during the schedule prescribed by the Registrar.

Changing, adding, dropping of subjects is allowed only for the following reasons: dissolved subjects, merged subject/s and others deemed valid by the Dean concerned.

Student may seek advice from their respective program chairs regarding any concern on changing, adding, dropping of subjects.

Official withdrawal of the entire enrollment or official dropping of subject/s shall be given mark of “DO” (dropped officially) in the student’s official record.

Unofficial or unauthorized withdrawal of the entire enrollment or unofficial dropping of subject/s shall be given the mark of “DA” (dropped due to absences) in the student’s official record.

Policy on Excess Loads for Graduating Students: (Student Manual p.15)

Pursuant to the Manual of Regulations for Private Higher Education (MORPHE), Section 92, a college graduating student may be permitted, upon the discretion of the school, an additional subject load of not more than six (6) academic units, in excess of the normal load prescribed by the institution for the last school term.

Requirements:

  • Letter of intent address to the Registrar and endorsed by the Dean, to enroll with excess/overload.
  • Curriculum evaluation sheet.
  • Accomplished application form

Policy on Graduation

  • Must file application for graduation to be taken from office. (sscrreg@sscrmnl.edu.ph)
  • Only those students who have successfully completed all subjects/courses in their curricula are eligible for graduation.
  • Must have completed and complied academic documents.
  • Must have settled all financial obligations and other requirements deemed necessary by the school and accomplish graduation clearance.
  • Must have complied with 4-year/5-year full load semesters.
  • Must have attended the required retreat and completed required recollections as scheduled by the campus ministry office.

Policy of Verification of Academic Records

If verified by student?

The office requires identification card issued by the school or any proof of identity with your signature on it.

If verified by parents/guardian?

The office requires consent letter from the student (if legal age 18+) with ID copy and ID copy of parents and guardian.

If verified by company/third party/agency?

The office requires consent letter from the subject with ID copy and documents presented. There must be a letter of the verifier signed address to the office of the registrar. Documents presented are still subject for clarifications and verifications.
